Duties and responsibilities

Quality assurance guiding documents monitoring 

•    Develop LIS quality assurance.
•    Draft LIS quality assurance guidelines.
•    Develop an implementation strategy for the guidelines in collaboration with the LIS branches, divisions and subdivisions.
•    Implement the guidelines to identify gaps using relevant tools.
•    Monitor the implementation of the guidelines.
•    Improve on the guidelines implementation.

Strategic library services reviews 

•    Operate as line functionary with regard to the quality related services and statistics gathered in support of the LIS, used by the LIS and the LIS Executive Management for strategic decision-making purposes.
•    Collect, synthesize, process and analyse all relevant statistical data in an accurate and up to date statistical database in order to produce clear and usable statistical reports (e.g., annual UFS Performance Indicators document, the Department of Library Services’ Report on the Evaluation of the previous year’s performance, Annual review, CHELSA database and Contributions to Excellence document)
•    Apply for ethical clearance to conduct the surveys for research purposes
•    To organise all quality assurance projects of the library using LibQUAL, SerQUAL and other UX (user experience) models, external evaluations, focus groups.
•    Regularly carry out corporate client surveys to ascertain the continuous changing needs of the LIS to allow the Management and Executive management team to plan for these changing needs and amend the services thus provided. The strategic tasks will consist of the following:
o    Co-ordinate and run the surveys.
o    Data analysis and interpretation of the results obtained.
o    Convey the results to the LIS management and Executive team.
o    Provide feedback to clients on the results of the surveys.
o    Assist with hoc tasks including supporting the Assistant Director in organizing marketing initiatives.
•    Assist with the LIS Faculty-LIS reviews .
•    Assist the LIS management with review the implementation of the strategic plan versus expenditure
•    Establish a student chapter platform for the LIS in collaboration with Faculty and Research Librarians.
•    Assist the LIS with SLP quality assurance programme.

Operational library services reviews 

•    Observe implementation and inspection of rules, procedures and guidelines and report quality
•    Identify work process improvements and resolve operational problems
•    Monitor all LIS customer service operations that affect quality.
•    Conduct root cause analysis of gaps through- SWOT analysis.
•    Review of current procedures and improving quality management system.
•    Conduct random testing of the LIS services.
•    Monthly reporting.
•    Develop training manuals for LIS quality assurance.
•    Train, motivate, and coach employees to make sure that standards are met and that relationships are built effectively.

Monitoring of the LIS service standards implementation

•    Monitor and advise on the improvement to the Teaching and Learning Service Standard.
•    Monitor and advise on the improvement to the Research and Scholarly communications.
•    Monitor and advise on the Collection Development and Management.
•    Random check for accuracy in the shelves.
•    Random check for availability and correctness of status of books on the library catalogue.
•    Random check on the accessibility of the LIS online resources.
•    Responsible for Random monitoring of the LIS social media platforms for advice.
•    Conduct random testing of any other LIS services.

Inherent Job Requirements

•    A Bachelor’s degree on NQF level seven (7)
•    A minimum of two (2) years’ relevant experience related to the duties and responsibilities.
