Job Description
Duties:
Reporting to the Director
Not overseeing any staff
Four extensions on the switchboard

We require someone with organizational skills to handle our imports, contracts, ordering and tracking of events associated with each contract or order
They will be trained to have a working knowledge of all import and export matters and work closely with our clearing agents
They would be required to do the indenting of international purchases from overseas suppliers and keep a regular update with clearing agents regarding the where abouts of the vessels i.e. expected time of departure and expected time of arrival and also make sure that goods are delivered on time to the end customer
Ensure that the correct tariff headings are used when giving clearing instructions
Liaise with local and international suppliers via email and fax, regarding the progress of items in production
Assist with the indenting and costing of imports
Administrator and personal Assistant to the Director
Deal with banks for forward cover and the daily Rand Swiss Franc exchange rate
Ensure that invoices are timeously sent out and that payments are received well before forward contracts become mature
Checking of accounts rendered by clearing agents, car rental companies and courier companies
Check the tender bulletin and electronic bulletin boards daily for relevant tenders
Ensure that the relevant staff members are notified of important tender closing dates and ensure that the couriers are contacted early enough to meet these deadlines
Fill in the companies details and score cards of supplier records that are now required for BE tendering in the public sector
File away documents answer the phone and keep office neat and tidy
